You have booked. Now the countdown starts. Here is exactly what to expect and when — from the moment your deposit clears to the morning your guide picks you up in Arusha.
We have guided thousands of travellers through this window. This is the checklist we use internally to make sure nothing is missed. Now you have it too.
12–9 Months Before: Visas, Vaccinations, Insurance
Tanzania Tourist Visa
Most nationalities need a tourist visa to enter Tanzania. You can apply online at visa.immigration.go.tz before you travel, or get one on arrival at Kilimanjaro International Airport. The fee is approximately $104 USD. Processing takes 2–10 business days online. Your passport must be valid for at least six months from your intended departure date.
We provide the official invitation letter from our TATO-registered company — this is required for your visa application and we send it within 24 hours of your deposit.
Vaccinations
Yellow fever is required if you are arriving from a yellow fever country. It is recommended for all travellers. Valid for life, and must be administered at least 10 days before travel.
Malaria prophylaxis is strongly recommended for Tanzania's safari circuit. Consult your doctor or a travel clinic 4–6 weeks before departure — they will prescribe what is current and appropriate for your medical history.
Standard travel vaccinations (MMR, tetanus, hepatitis A) should be up to date. Your clinic will advise on anything else specific to East Africa.
Travel Insurance
Medical evacuation from the Serengeti by helicopter can cost $20,000–$50,000 USD. Your policy must cover medical evacuation out of Tanzania, not just within your home country. Also confirm that standard safari activities are covered — some policies exclude them.
Book this early. It gets more expensive closer to departure and you cannot rely on finding a comprehensive policy at the last minute.
6–9 Months Before: Flights and Timing
International Flights
Kilimanjaro International Airport (JRO) is the main gateway for Tanzania safaris. Ethiopian Airlines, Turkish Airlines, and Qatar Airways run the most reliable routes. Book your international flights as early as possible — peak season fares rise significantly 3–4 months out.
Arrive a day early. We recommend landing the afternoon or evening before your safari starts. This eliminates stress from flight delays and gives you a full night in Arusha before the early start on day one. We can arrange your hotel for that night — just ask.
Internal Connections
If you are coming via Nairobi or Dar es Salaam, factor in a minimum 3-hour connection window for international-to-domestic transfers. Both airports can be busy. Nairobi's Jomo Kenyatta International Airport is the most common connection point for clients coming from Europe or North America.
3–6 Months Before: Gear and Packing
What to Buy vs. Rent
Most gear is worth buying rather than renting:
- Binoculars — 8x40 or 10x42 is ideal. This is the single item that most improves the experience that most first-timers under-buy. Get your own pair; the optical quality makes a real difference.
- Neutral-coloured clothing — khaki, tan, olive, brown. Avoid white, blue, and bright colours. Game drives involve sitting in an open vehicle; earth tones blend with the environment.
- Walking shoes — closed-toe with ankle support. You will do short walks in the parks and at viewpoints.
- Sunscreen and insect repellent — SPF 50+ and DEET 30%+ respectively. Available in Tanzania but expensive and limited selection. Bring from home.

Camera Gear
You do not need expensive camera equipment to get stunning wildlife photos. A smartphone with 3x optical zoom is sufficient for most shots from a Land Cruiser. If you want to shoot wildlife seriously, a mirrorless or DSLR with a 100–400mm lens or equivalent will give you professional results. Bring extra memory cards and a cleaning cloth — dust is part of every safari.
1–3 Months Before: Extras and Add-Ons
Balloon Safari
A dawn hot air balloon flight over the Serengeti is one of the most extraordinary wildlife experiences in Africa. Flights depart at first light and last approximately one hour. Cost is $599–$699 per person. Book this early — each balloon carries 8–16 passengers and peak season fills up 2–3 months in advance.
Walking Safari
A guided walking safari in the Ngorongoro Conservation Area is a different pace — on foot, metres from big game. This requires advance booking and your guide will arrange it as part of your itinerary. If this interests you, tell us when you book so we can plan the route.
Park Fee Payment
Park entry fees for the Serengeti, Ngorongoro, Tarangire, and Lake Manyara are not included in your safari price — these are government fees paid directly at the gate. Your quote from us will itemise these costs so you know exactly what to budget. Most travellers carry this as a cash allowance for the first day.
Tipping Guide
We send you a specific tipping guide before your safari. The short version: guide tips are $16–25 USD per person per day, depending on group size and quality of service. Your guide will also brief you on who else to tip and how — lodge staff, cooks on camping safaris, and crater specialist guides all have customary amounts.
2 Weeks Before: Confirmations and Briefing
What You Will Receive From Us
Two weeks before departure, your guide will call you directly on WhatsApp. Before that call, you will receive:
- Your full itinerary confirmation — lodge names, camp names, daily schedule
- Park entry voucher numbers for each park
- Your guide briefing and direct WhatsApp contact for day-one coordination
- Pick-up details — exact time, location, and contact number for day one
What to Check
- Confirm your international flights are still on schedule
- Check that your visa is approved if you applied online
- Confirm your travel insurance policy is active and print the emergency contact number
- Check the weather forecast for Arusha and your target parks — pack accordingly
- Confirm your balloon safari booking if you added one
Day-One Briefing
Your guide will tell you exactly what time to be ready on the morning your safari starts. Most Northern Circuit safaris begin at 7am sharp from your Arusha hotel. The first game drive starts within an hour of departure — wildlife is most active in the early morning and your guide will be planning the route to make the most of it.
1 Week Before: Final Preparations
Guide Introduction Call
Your guide will call or message you this week. This is your opportunity to ask anything — about the itinerary, about what to expect, about anything that has been worrying you. They have done this thousands of times and have heard every question. There is no such thing as a silly question at this stage.
What to Wear on Day One
Neutral colours, layers, closed-toe shoes. The morning game drive will be cool — layers are essential. By mid-morning it is warm. You will peel layers off and put them back on throughout the day. Bring a hat with a chin strap; the wind on the vehicle can blow a normal hat away.
What Happens If It Rains
Rain does not cancel game drives. Tanzania's safari vehicles are built for all conditions and your guide will adjust the route if needed. In the green season (March–May), short afternoon showers are common and wildlife often moves actively after rain. Bring a light rain layer and your safari continues regardless.
What Happens If Something Changes
If your guide becomes unavailable due to illness or emergency, we have backup guides trained to the same standard. If road conditions change, your guide will find the best alternative route. If weather closes a park temporarily, we have the local knowledge to reroute. This is the advantage of a direct operator with 48 years of local relationships — we adapt in real time.
Day of Departure: Arusha, Then the Bush
The Night Before
Go to bed early. Game drives start before dawn and they are long — you want to be rested. Lay out your clothes, pack a small day bag with your camera, sunscreen, and a light jacket, and confirm your alarm is set.
How Early to Arrive
Your guide will collect you at your hotel at the time confirmed in writing. From that moment, your vehicle, your guide, and your schedule are dedicated entirely to you and your group. No other passengers. No compromises.
Final WhatsApp Confirmation
On the morning of departure, your guide will message you to confirm they are on their way. If you have any last-minute questions, this is the time to ask.
Then you drive out of Arusha, past the coffee shambas and the mountain foothills, and into the parks. The countdown is over. The safari has started.
